How Can You Use Your Team’s Potential to the Fullest?

Date:

Teams of any size bring together many people with different work styles and behaviors. As a result, traditional, one-size-fits-all team management methods are no longer adequate to increase productivity and potential in the workplace.

People simply don’t work the same way. They use different ways of working; some set schedules and do what is necessary, while others just go with the flow and don’t plan anything.

There is no right or wrong way to work, only a way to do things. And as a leader, it’s your responsibility to create an environment where every team member can work as efficiently as possible.

An important element of a productive work environment is the harmony between the way employees work and the way their supervisors work. Therefore, as a team leader, you may need to change the way you work.

Work Methods – Definitions and Basics

At the management level, the term “work processes” refers to the way teams work together and accomplish tasks. According to trainers and consultants, there are five operating principles that help develop highly effective teams.

  • Be goal-oriented – a clear direction and a common goal to be achieved by the entire team.
  • Focus on progress and results – measuring and evaluating progress and results, not processes and procedures, enables continuous improvement.
  • Collaborate – the priority is to build cohesive teams that support and work toward a common goal.
  • Work openly – communicate transparently with your team so they can do their job.
  • Be friendly – give teams autonomy and cross-functional responsibilities, it’s a sign of trust.

Individual work methods refer to how each employee interacts with others in the workplace. Here are some examples of work methods.

  • How certain tasks are performed and what tools are used. For example, some people prefer Google Docs to take notes, while others prefer to use pen and paper.
  • The order of tasks – some people start with simple tasks, while others prefer to start their morning by “eating frogs.”
  • The frequency of certain work processes, activities, and events – for example, the frequency of meetings or reports.
  • There are numerous additional factors to think about.

What Work Methods Can Maximize a Team’s Productivity?

Working in teams, and especially leading teams requires flexibility and openness to different ways of working. To maximize your team’s productivity, you may need to adapt your personal work style to the way many of your team members work.

For example, you may be obsessed with limiting your work hours, but many of your team members want their workdays to be unplanned and open to all kinds of tasks. Asking everyone to adapt to the way you work can lead to frustration and dissatisfaction, as well as high turnover.

In this case, it may be best to change the way you work to increase productivity and employee satisfaction. Here are some steps to overcome this challenge.

Step 1: Evaluate The Current Performance of Your Staff

Before you change the way you work, you need to measure your team’s performance to get a baseline. Otherwise, you won’t know if the change will improve or hinder staff productivity.

The easiest way to measure your team’s productivity is to use an employee time tracking software like EMS to automatically calculate employee productivity. All you have to do is make comparisons and draw conclusions.

Step 2: Conduct A Team Survey

Create a survey for your team to determine what is working well and what needs to be improved. Perhaps there are things in your work that your colleagues don’t want to change.

Anonymous responses allow participants to give more detailed and honest feedback.

Step 3: Create A New Structure for How You Work

Now that you know how your team works and what they want to change or not change about their work, you can develop a new way of working. It should define in general terms how they want to work in the future and include basic guidelines, rules, and behaviors that they want to follow in specific work situations, e.g., delegate work to others, use a team approach, etc.

  • Delegating work to others
  • Giving feedback
  • Confronting a person or group of people
  • Responding to crisis situations
  • making important decisions
  • Ensuring the quality of work
  • Other

For example, when giving feedback, you are expected to provide honest and constructive criticism, focusing on things that went well and on failures. Also, deliver quality work, trust your team’s skills and avoid micromanaging, respond immediately to requests for help and answer all questions within 24 hours.

Step 4: Share Your New Work System with Your Team

Your team has a right to know what they expect from you, especially if it’s something new in the way you work. For example, if you have been slow to respond to emails in the past, you should now tell your team that they should expect a response within 24 hours.

Step 5: Implement, Review and Improve

Implement the new way of working and analyze whether it has an impact on your team’s performance. Remember, the first step is to measure their performance… Remember to compare before and after and draw conclusions. Repeat this “exercise” if necessary. Consult with your team to find out what is working well and what is missing in order to improve work methods and introduce new improvements.

Summarize

It doesn’t always have to be broken. Even if your team is already performing well, there is always room for improvement. A few changes in the way you work can take your business to the next level of success.
